Executive Assistant/Account Coordinator

The Executive Assistant/Account Coordinator position requires highly developed organizational and planning skills, accountability, and self-motivation. This position is an assistant to the President and includes various Administrative and Client Service duties. The ideal candidate will have experience in working in an office of professionals. They will assist with clients, correspond with clients, assist with various administrative tasks, schedule and manage workflow, as well as assist the President. They will have experience in office management with good decision making and professional skills. We seek someone who is a motivated, organized, self-starter and is open to consistent learning and growth, Required Qualities and Characteristics: Self-starter, motivated, independent, honest, integrity, loyal, articulate, high attention to detail, communicative, sense of humor, organized, efficient, punctual, confident, firm, decisive, non-judgmental, polite, pleasant, conscientious, practical, spontaneous, thorough, diligent, intelligent, mature, problem solver, compassionate, good listener, attentive, patient, disciplined, thoughtful, flexible, able to multi-task. Essential Functions: ASSISTANT TO THE PRESIDENT:

  • Manage President’s calendar and various scheduling
  • Report preparation as required with strong use of Excel
  • Assist President with various projects and errands


  • Event Planning: coordinate travel when needed
  • Follow up with lead information and post-conference duties
  • Organize welcome kit for new sales prospects
  • New sales contract processing & setup


  • Address incoming client requests by phone, email, and personal visits
  • Preparing account service-related documents such as meeting agendas, meeting reports, proposals, and another client correspondence.
  • Participating in and documenting discussions during client meetings and conference calls.
  • Fielding and processing internal information requests.
  • Maintaining current work-in-progress records and archives of past projects.


  • Expert in Microsoft Office Excel, Word and Outlook programs
  • Excellent communication skills, both verbal and written
  • Detail oriented and ability to multi-task
  • Master at organization and process improvement
  • Professional conduct within and outside the office while conducting agency business
  • Able to work in a fast paced, learning environment
